Job Description

The Senior Administrative Specialist provides administrative support for tasks including office management, vendor coordination, report and document preparation, departmental visitation and recruitment, faculty support, and communication/telephone calls.

Work Schedule: Monday – Friday, 8:00 a.m. – 4:30 p.m.

Position Summary:
The Department of Pathology is seeking a highly organized and detail-oriented Senior Administrative Specialist to provide comprehensive administrative support for the department’s administrative and clinical operations. This position will indirectly support the Chair, Senior Director, Faculty, and staff, ensuring smooth departmental operations and efficient workflow.

Key Responsibilities:

  • Provide administrative support for contract management, including drafting, tracking, and maintaining contracts using systems such as Ironclad.
  • Assist with financial processes, including invoice review, requisitioning, and tracking departmental budgets.
  • Coordinate travel arrangements, catering, supply management, and other general administrative tasks to support faculty, staff, and departmental operations.
  • Utilize Workday for financial and administrative processes and Concur systems for staff travel. Utilize Ironclad for contract management. 
  • Maintain accurate records, prepare reports, and ensure compliance with institutional policies and procedures.
  • Serve as a point of contact for internal and external stakeholders, facilitating communication and supporting departmental initiatives.
  • Proficiency with Microsoft 365 Office Suite, Teams, Workday, Concur, and Ironclad preferred.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent communication skills, both written and verbal.
  • Demonstrated attention to detail, discretion, and ability to handle confidential information.

Minimum Education and/or Training:

  • High school diploma/GED required.
  • Bachelor's degree preferred.

Minimum Experience:

  • Minimum Requirement: 4+ years experience in administration or related areas.
  • Experience Exception: Bachelor's degree with no experience required.
  • Some experience with activities involving planning, organizing and coordinating is important.
  • Experience with tasks that involve managing routine or repetitive activities, high attention to detail and clear communication are critical.
  • Demonstrated experience working with office technologies including Microsoft Office (Word/ Excel/PowerPoint etc.).

Compensation

In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $22.00 - $38.50 per hour for the role of Senior Administrative Specialist - Department of Pathology.
