Sr Administrative Specialist- Oncology
Job Description
The Department of Oncology is excited to welcome a Senior Administrative Specialist to our team. In this role, you will play a key part in helping our department run smoothly and supporting the important work we do every day. You’ll work with a high level of independence, providing thoughtful administrative support, coordinating with vendors and partners, preparing documents and reports, assisting with recruitment and faculty needs, and contributing to events and initiatives that move our mission forward. You’ll also be a trusted colleague to other administrative staff and will handle sensitive information with care, professionalism, and discretion.
What You Will Do
Provide daily administrative support with care and attention—responding to calls and emails, managing office supplies, scheduling meetings, updating documents, and maintaining vendor contracts.
Partner with external vendors to help plan and support departmental events.
Communicate clearly and warmly with internal and external team members on routine matters.
Prepare standard budget and expense reports, keeping documentation organized and confidential where needed.
Support faculty or leaders with scheduling, communication, grant-related tasks, and lab setup—helping them stay focused on their mission.
Assist with keeping faculty CVs, ORCID profiles, and biosketches up to date.
Contribute to the recruitment process by coordinating itineraries for visitors and prospective candidates, helping create a welcoming experience.
Take on additional responsibilities that help advance the goals of the department and the institution.
Maintain regular and reliable attendance, with preferred work hours of 7:30 a.m.–4:00 p.m.
Minimum Education and Training
High school diploma or GED required
Bachelor’s degree preferred
Minimum Experience
4+ years of administrative or related experience
Bachelor’s degree with no experience
Experience planning, organizing, and coordinating projects or activities
Strong attention to detail and comfort managing routine or recurring tasks
Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Microsoft Teams
Compensation
In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $22.00 - $38.50 per hour for the role of Sr Administrative Specialist- Oncology.Explore our exceptional benefits!
